Hearthome is communication software for HOAs, condo associations, property managers and landlords. This page explains what we collect on tryhearthome.com, what happens to it, and how the Hearthome product treats your community’s information. If anything is unclear, write to hello@tryhearthome.com and a person will answer.

The early-access waitlist
When you ask for early access, we collect:
- Your email address (required).
- Your community’s name, your role and the number of homes, if you choose to add them.
- The campaign tag in the link you followed, such as
?ref=newsletter, if there was one. - The date and time you signed up.
We use this to send you one confirmation email, to let our small team know you joined, and to contact you about early access and setting up your community. We don’t sell or rent it, we don’t share it with advertisers, and we don’t add you to a marketing newsletter.
The list is stored in Hearthome’s database on Cloudflare, and only Hearthome staff can see it. We keep an entry until you ask us to remove it or your community has moved onto Hearthome. Entries we haven’t been in touch with for 24 months are deleted.
What this website collects on its own
- No cookies, no analytics, no tracking. tryhearthome.com doesn’t set cookies and doesn’t load analytics, advertising or social-media scripts.
- Hosting. Cloudflare, which runs this site, processes your IP address and basic request details to deliver pages and protect the site from abuse, as any web host does.
- Spam protection. When you submit the form, we keep a one-way hash of your IP address and a counter for about ten minutes, so one source can’t flood the list. We never store the address itself.
- Typefaces. Our fonts load from Google Fonts, so your browser requests them from Google’s servers, which see your IP address and browser details as part of that request.
Waitlist emails are sent through Cloudflare Email Service from hello@mail.hearthome.app, and replies reach us at hello@tryhearthome.com. The confirmation is the only email we send automatically; anything after that is a person writing to you.
Inside the product, community email also goes through Cloudflare, one message per resident, and each resident chooses how they hear from their community: email, text, app notifications, or a mix.
How Hearthome handles community data
- No payments data
- Hearthome doesn’t collect dues, process payments or store bank or card details. We left the ledger out on purpose.
- Resident data belongs to each community
- Names, homes, contact details, language and notification preferences, posts, messages, files and poll answers are stored per community and kept apart from every other community. The community’s board or manager decides who is invited and what each person can see. We process this information on the community’s behalf and don’t use it for anything else.
- One audience per item
- Every announcement, file, event and page has exactly one audience (Public, Members, Owners, Tenants, a group, or Board), shown wherever it appears. Members-only and board-only files are only served after Hearthome checks the person’s access.
- Ember only reads what you’re allowed to see
- When someone asks Ember a question, it searches only the documents that person may open, and it cites where each answer came from. Ember can’t make a file more public, change roles or remove members, and anything it drafts for residents waits for a person’s OK unless the community has pre-approved that kind of reminder. Ember runs on Cloudflare Workers AI; community data isn’t sent to outside AI companies.
- Your own assistant
- If a member connects their own AI assistant through the Hearthome MCP server, that assistant sees only what the member could see in Hearthome.
Who processes data for us
- Cloudflare: hosting, database, file storage, email sending and receiving, AI (Workers AI) and security.
- Google Fonts: typefaces on our websites.
- Apple, Google and Expo: deliver app notifications, only for people who turn them on in the Hearthome app.
- Twilio: text messages, only for communities that turn texting on.
We’ll update this list before anyone new handles your information.
Your choices
- See, correct or delete what we hold about you. Write to hello@tryhearthome.com from the address in question. We’ll reply within 30 days, usually much sooner.
- Leave the waitlist. Reply to your confirmation email, or write to us, and we’ll delete your entry.
- Residents. Your community’s board or manager controls your membership. You can change your profile, language and notification channels in the app at any time, and you can always contact us directly.
Children
Hearthome is for adults who run or live in a community. It isn’t directed at children under 13, and we don’t knowingly collect their information. If you think a child has given us information, write to us and we’ll delete it.
Changes to this policy
When this policy changes, we update the date at the top of this page. If a change affects how we use information you’ve already given us, we’ll email you before it takes effect.
